For most small businesses, the "PDF or print" question has a fairly settled answer these days — but it's worth understanding why PDF won out, since the reasoning applies to more than just invoices.
Why PDF became the default
A PDF renders identically regardless of the device, operating system, or software opening it — the layout, fonts, and spacing you designed are exactly what the recipient sees, every time. That consistency is the real reason PDF dominates for anything formal that needs to look professional and complete on the recipient's end without you being able to control their setup. An emailed Word document, by contrast, can shift its layout depending on the reader's installed fonts and software version — a risk you don't want on a document with dollar amounts and payment terms.
PDFs are also easier to archive and search
Both sender and recipient typically need to keep invoices on file for accounting and tax purposes. A PDF is a single, self-contained file that's easy to store, back up, search by invoice number or client name, and attach to accounting software — none of which a printed paper invoice does nearly as conveniently. Printed invoices still exist for businesses that specifically operate on paper records, but for anything sent electronically, PDF is the practical default.
When printing still makes sense
A few situations still call for a physical copy: in-person transactions where a paper receipt is expected on the spot, businesses required by a specific client or contract to provide hard copies, or simply printing a PDF invoice for your own physical filing system alongside the digital copy. None of these require a fundamentally different invoice — the same PDF that gets emailed can just as easily be printed, which is part of why PDF works well as a single source of truth for either use case.
